Job Description

Purpose:

The Benefits & Leave Administrator is responsible for the day-to-day support and coordination of employee benefits and leave of absence programs. This role serves as the primary point of contact for employee benefit and leave-related inquiries and ensures timely processing, documentation, and compliance with applicable regulations, including FMLA, ADA, and state leave laws. The role supports communication and education around benefit plans and ensures accurate data entry in HRIS and vendor systems.

Responsibilities

Key Responsibilities:

Administer leave of absence programs including FMLA, ADA, personal, and other state or company-provided leaves
Communicate with employees regarding benefits eligibility, leave requirements, and return-to-work procedures
Maintain accurate and up-to-date employee leave records and benefit enrollment data
Coordinate with third-party administrators, insurance providers, and payroll to ensure accurate benefit deductions and leave payments
Respond to employee inquiries regarding benefits coverage, plan changes, eligibility, and leave status
Support open enrollment and mid-year benefits changes including system updates and communications
Process benefit enrollments, terminations, and qualifying life event changes in HRIS systems
Assist with benefit plan audits, compliance reporting, and documentation
Monitor and follow up on required documentation for benefits and leaves in a timely manner
Escalate complex benefits or leave matters to HR Leadership

Key Measures / Key Performance Indicators:

Accuracy of benefit and leave records in HRIS systems
Timeliness of leave documentation, approvals, and return-to-work tracking
Resolution time for employee benefit or leave inquiries
Compliance with FMLA, ADA, COBRA, ACA, and other applicable laws
Completion and documentation of benefits enrollments and changes
Employee satisfaction with benefits and leave support

Requirements

Education:

High school diploma or GED required. Associate’s degree or HR/benefits certification (e.g., CEBS, PHR) preferred.

Experience:

2–3 years of experience in benefits administration, HR support, or leave management
Working knowledge of leave laws (FMLA, ADA, state-specific) and benefit eligibility rules
Experience with HRIS platforms and benefits portals (e.g., ADP, Workday, FUSE)

Exposure:

Hands-on experience interacting with employees, managers, and vendors
Knowledge of insurance plans, compliance requirements, and HR documentation standards
Cross-functional coordination with Payroll, Risk, and HR Business Partners

Accuracy in data entry, tracking, and compliance documentation
Excellent communication and follow-up skills with employees and vendors

Physical Requirements:

Prolonged periods of sitting and working on a computer
Manual dexterity for typing and data entry
Visual and hearing acuity for communication and document review
Occasional lifting of up to 10 pounds
