Position: Onboarding Specialist
Duration: 1 year
Location: Santa Clara, CA (Hybrid 3x a week)
PR: 50-60/hr
Must Haves:
- Bachelor’s degree in related field or equivalent experience.
- 3-5+ years of contingent workforce project management experience, with a proven track record in fast-moving and fast-scaling environments.
- In-depth knowledge of contingent workforce management best practices and contingent worker classifications.
- Proficiency in managing documentation through platforms like DocuSign.
- Excellent analytical skills including proficiency with dashboards, MS Excel, and Visualization.
- Knowledge of Workday and VMS tools.
Plusses:
- Experience in contractor or employee onboarding, particularly in a global environment.
- Knowledge of procurement and legal compliance in the contractor hiring process.
- Experience utilizing a VMS (Beeline preferred).
- Experience with DocuSign a plus.
Day-to-Day:
Reporting to the Head of the Contingent Workforce PMO, you’ll help manage the end-to-end onboarding processes for contractors. This role requires hands-on management of onboarding new contractors through Workday and Beeline (VMS).
What you'll be doing:
Onboarding Coordination:
- Gather onboarding details from managers and suppliers to initiate the contractor onboarding process.
- Ensure all necessary agreements are in place by engaging Legal when required.
- Coordinate with Procurement to confirm Purchase Order (PO) approvals as needed.
- Initiate and manage background checks via platforms like HireRight, ensuring compliance with regional requirements.
Documentation Management:
- Prepare and send all required forms as well as track outgoing and incoming responses, ensuring timely completion.
- Ensure approval across all required cross-functional teams.
- Generate and submit new hire alerts within ServiceNow to ensure contractors are accurately onboarded into internal systems.
Communication and Support:
- Serve as a point of contact for contractors during the onboarding process, addressing any issues or questions that may arise.
Tracking and Reporting:
- Maintain up-to-date records of contractor onboarding activities in other internal systems.
- Track and report on onboarding progress to ensure all required steps are completed within the encouraged timeframe.
- Manage and process all Workday transactions for contingent workers.
