Role and Responsibilities
The HR Specialist handles a broad range of HR functions with a focus on accuracy, confidentiality, and employee support. This role is responsible for processing payroll, managing the full employee lifecycle through onboarding and offboarding, administering benefits enrollment, coordinating recruitment of hourly staff, and acting as the first point of contact for employee inquiries and concerns. The ideal candidate is highly organized, people-oriented, and comfortable working with HR systems and sensitive data. He/She is also responsible for processing payroll and handling the day-to-day activities of payroll including reviewing and loading payroll data on a biweekly basis. The position requires strong attention to detail, sound judgment, excellent communication skills, and the ability to manage multiple priorities in a fast-paced manufacturing and operations environment.
Payroll Processing
- Process bi-weekly payroll for multi-state exempt and non-exempt employees.
- Answers questions and assists in resolving timekeeping and payroll issues.
- Collects, verifies and stores organization payroll data.
- Ensure proper deductions for taxes, benefits, garnishments and other withholdings
- Maintain appropriate garnishment records, payroll related data and reports, audit reports and benefit payments to vendors.
- Calculates gross and net pay amounts when needed (e.g. salary, overtime shift payments, sales commissions, bonuses, deferred compensation, benefits, tax withholdings, deductions, payroll liabilities).
- Processes standard and complex payroll transactions including but not limited to retro calculations and resolving errors.
- Process off-cycle adjustments or pay cycles as needed
- Reconciliation of payroll records.
Onboarding & Offboarding
- Coordinate and facilitate the new hire onboarding process, including preparation of offer letters, I-9 and W-4 completion, and orientation scheduling
- Enter all new hire information into the HRIS and ensure accuracy across all platforms
- Conduct new employee orientations, communicate company policies, benefits, and culture
- Manage employee offboarding, including separation paperwork, final pay coordination, and COBRA notification
- Assist in conducting or coordinating exit interviews and summarize findings for leadership review
- Maintain organized digital and physical employee files throughout the full employment lifecycle
Benefits Administration
- Data enter and maintain employee benefits enrollments, changes, and terminations in carrier portals and HRIS systems
- Process qualifying life event changes (marriage, birth, etc.) and ensure timely submission to carriers
- Reconcile monthly benefits invoices and report discrepancies to Finance
- Maintain compliance with ACA reporting requirements and other applicable regulations
- Open Enrollment Management, Coordinate open enrollment communications, materials, and data entry
Non-exempt Recruitment
- Manage the recruitment process for hourly and entry-level positions through our 3rd Party Vendors, from job posting to offer acceptance
- Write, post, and maintain job listings on internal job boards posting opportunities in the breakroom and internal platforms
- Screen applications, conduct phone interviews, and coordinate in-person or virtual interviews with hiring managers
- Monitor 3rd party background checks, reference checks, and pre-employment screening as required
- Maintain a pipeline of qualified candidates and manage relationships with staffing agencies as needed
Employee Relations & HR Administration
- Serve as the primary point of contact for employees with HR-related questions regarding pay, benefits, policies, and general concerns
- Respond to employee inquiries in a timely, professional, and empathetic manner, escalating complex issues to HR leadership when appropriate
- Assist with documenting and tracking employee relations matters, disciplinary actions, and performance improvement plans
- Promote a positive workplace culture by fostering open communication and consistent policy enforcement
- Maintain confidentiality and handle sensitive employee situations with discretion and professionalism
- Support management with documentation, coaching conversations, and HR policy interpretation
- Maintain accurate and up-to-date employee records in the HRIS
- Able to maintain calendars, meet deadlines and has strong attention to detail
- Generate HR reports including headcount, turnover, attendance, and compliance data
- Prepare and analyze HR metrics (turnover, absenteeism, headcount trends) to support management decisions
- Assist with audits, compliance filings (EEO-1, ACA, FMLA, etc.), and policy updates
- Ensures compliance, regulatory reporting and remittance, adherence to all requirements.
- Ensure compliance with federal, state, and company HR policies and procedures
- Support additional HR projects and initiatives as assigned
- Ensure the confidentiality and retention of payroll information and records in accordance with established policies
- Cross-functional coordination with Finance (for payroll reconciliation), Operations (staffing needs) & external vendors (benefits, payroll, agencies)
- Support implementation and communication of company policies and employee handbook updates
Qualifications and Education Requirements
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, Psychology or a related field or equivalent experience.
- 2+ years of payroll related experience/ 5 years of HR experience.
- Strong analytical and problem-solving skills. Ability to audit and screen reports for errors.
- Capable of analyzing data for accurate reporting.
- Working knowledge of federal and state employment laws (FLSA, ADA, FMLA, EEO, etc)
- Experience with HRIS platforms and payroll systems (Paychex, Workday, ADP or similar)
- Ability to work independently and collaboratively with minimum supervision.
- Basic knowledge of payroll processes including calculations, processing reporting and problem solving.
- Strong attention to detail and commitment to accuracy in data entry and record-keeping
- Excellent interpersonal and communication skills, both written and verbal (bi-lingual in Spanish a plus)
- Strong organizational skills and ability to manage multiple priorities simultaneously
- Proficient with MS Office.
- Must be self-motivated and able to work in a team-orientated environment.
Preferred Skills
- PHR or SHRM-CP certification (or in progress)
- Bilingual (English/Spanish) a plus

- This position requires regular interaction with employees, managers, vendors, and internal stakeholders. The HR Specialist must maintain a high level of professionalism, confidentiality, accuracy, and responsiveness while supporting Human Resources operations and contributing to the effective management of the US workforce.
