We are seeking a highly organized and proactive Executive Support Specialist (ESS 1) to provide comprehensive administrative support for PERS Chief Information Officer (CIO), ISD Managers and Staff. This pivotal role demands exceptional attention to detail, impeccable communication skills, and the ability to manage complex schedules and confidential information with discretion. The ideal candidate will be a resourceful problem-solver who can anticipate the CIO and ISD's needs, streamline workflows, and serve as a key point of contact both internally and externally, contributing directly to the efficiency and effectiveness of the CIO's office.
The Public Employees Retirement System is recruiting for one Executive Support Specialist (Executive Support Specialist 1) within the Information Services Division section.

This is a full-time, permanent position.

This position is based at our headquarters office in Tigard, Oregon, however the successful candidate will be eligible for a 100% remote work schedule with the option for hybrid work.

What you will be doing:
As an Executive Support Specialist (Executive Support Specialist 1) you will be responsible for providing comprehensive administrative support for PERS Chief Information Officer (CIO), ISD Managers and Staff. MINIMUM QUALIFICATIONS:
Executive Support Specialist (Executive Support Specialist 1)
Three years of clerical/secretarial experience which included: one year at a full performance level performing typing, word processing, or other generating of documents; and lead work responsibility or coordination of office procedures.
Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.
No substitution will be made for the one year at the full performance level.
REQUESTED SKILLS (DESIRED ATTRIBUTES

Experience in Administration Assistance: Have at least two (2) years of working experience in general administration assistance to an executive or management.

Exceptional Organizational and Time Management Skills: In the fast-paced world of technology and executive leadership, the CIO often juggles numerous projects, meetings, and deadlines. An ESS who can proactively manage complex calendars, prioritize tasks effectively, anticipate needs, and keep everything running smoothly is invaluable. This includes meticulous attention to detail and the ability to handle multiple demands simultaneously without dropping the ball.

Strong Communication and Interpersonal Abilities: The ESS serves as a key point of contact, interacting with internal teams, external partners, and other executives. Clear, concise, and professional communication, both written and verbal, is crucial. Furthermore, the ability to build rapport, exercise diplomacy, and maintain confidentiality fosters positive working relationships and reflects well on the CIO and the entire Information Services Division.

Problem-Solving and Resourcefulness: When unexpected issues arise, the CIO needs an ESS who can think critically, identify solutions, and take initiative. Resourcefulness in finding information, connecting with the right people, and proactively addressing challenges before they escalate saves the CIO valuable time and reduces stress.

Technical Aptitude and Understanding of IT Operations: While not necessarily requiring deep technical expertise, a successful ESS to a CIO, benefits from a general understanding of IT terminology, organizational structures within IT, and common technology platforms. This allows the ESS to better manage the CIO's schedule, understand the context of meetings and projects, and communicate more effectively with technical teams.

Discretion and Professionalism: Given the sensitive nature of information often handled at the executive level, unwavering discretion and professionalism are paramount. The ESS must be trustworthy, maintain confidentiality, and exercise sound judgment in all interactions and tasks. The salary listed is the non-PERS qualifying salary range. If the successful candidate is PERS qualifying, the salary range will reflect the additional 6.95%.
