Immediate Supervisor: Director of Finance/Controller
Status: Full-time exempt (37.5+ hours per week)
Work Location: Hybrid schedule requiring three days per week in the Baton Rouge, La. office and two remote workdays
Compensation: TBD based on experience

Position Description: Management of (1) Member services and support, (2) Member records integrity including member/donor data entry, data updates, and deposits for new member initiates, renewals, donors, chapters, and other constituents.
Key Responsibilities
Member Services/Support
- Respond promptly to member and donor requests via email and phone, including requests for information, receipts, and documentation.
- Update contact information, anniversary dates, and other demographic information for new and existing members.
- Coordinate the replacement of member certificates and/or pins as needed, including documentation, production, printing, and shipping.
New Initiates and Renewals
- Manage and reconcile daily member imports from various sources (online website, direct mail, and bank lockbox) to Phi Kappa Phi’s association management system (Salesforce).
- Ensure member data and deposits are accurate and current.
- Manage data entry, credit card payments, and remote bank deposits from external sources.
- Perform daily reconciliation of member transactions and deposits in collaboration with the Accountant.
- Process member and donor refunds and account adjustments as needed.
Chapters
- Data entry and deposits for chapter payments.
- Manage institutional invoicing and payment processing for prospective chapters in accordance with the chapter petitioning process.
Donors/Fundraising
- Enter, process, and track charitable donations across multiple campaigns, funds, and payment methods.
- Prepare and mail donor tax receipts and acknowledgment letters.
Treasury and Investments
- Manage treasury functions including cash management and banking relationships
- Optimize banking relationships
Monthly/Annual Closings
- In coordination with external advisors, oversee investment portfolios
- In coordination with the Finance team, perform monthly reconciliation of deposit batches from initiates, renewals, chapters, and donors against bank activity.
Perform other duties as assigned by the Director of Finance/Controller and Chief Financial Officer
Experience
Required:
- Experience in customer service and/or member support
- Experience in data entry
- Must be located in commutable distance to Baton Rouge, Louisiana, United States
Preferred:
- 2-5 years of experience in managing member records and accounts receivable
- Experience with association management systems like Salesforce
- Experience in managing and reconciling daily member imports from various sources
- Experience in processing member and donor refunds and account adjustments
- Experience in managing institutional invoicing and payment processing for prospective chapters
- Experience in entering, processing, and tracking charitable donations across multiple campaigns
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
