Job Summary: The
Benefits Systems Support Specialist is responsible for the administration and maintenance of technical systems that support employee benefits programs. This role provides administrative, technical, and project management support to ensure accurate processing of benefits transactions within the organization’s Human Capital Management (HCM) system, Workday. The specialist serves as a key resource to both the HRIS and Benefits teams, assisting with system-related inquiries, troubleshooting, data integrity, and open enrollment activities. A solid understanding of employee benefits—including retirement plans such as 401(k)—as well as associated processes, procedures, and compliance requirements is essential.
Job Responsibilities:
Program Analysis & Optimization
- Monitor and maintain the functionality of Workday benefits modules, ensuring configurations align with current plan designs, eligibility criteria, and regulatory compliance requirements.
- Troubleshoot and resolve system-related issues impacting benefits transactions—including enrollments, life event changes, and terminations—to support uninterrupted operations.
- Conduct regular audits and data reconciliations to ensure the accuracy of employee benefits information, identifying and correcting discrepancies between Workday and external vendor systems.
- Escalate unresolved or complex system issues to the HRIS team for further investigation and resolution.
Technical & Vendor Support
- Support data integrations between Workday and over 25 external benefits vendors, ensuring timely and accurate data exchanges.
- Monitor and troubleshoot file feeds and system integrations to maintain consistent and error-free data transmission.
- Assist with testing and implementation of Workday updates, patches, and new functionality related to benefits.
- Collaborate with the HRIS team to review quarterly Workday releases and assess potential impacts on benefits configuration and processes.
- Maintain data integrity for benefits-related transactions—including enrollments, plan changes, and vendor file feeds—through regular audits and reconciliations.
- Provide Tier 1 support for benefits system issues, assisting team members and end users with access, navigation, and troubleshooting within Workday.
- Serve as the primary point of contact for OSV (OneSource Virtual) technical issues, partnering with HRIS to resolve configuration and integration challenges.
- Generate and distribute scheduled and ad hoc reports related to benefits enrollment, eligibility, utilization, and compliance.
- Maintain documentation for system processes, user guides, and troubleshooting protocols to support internal knowledge and training.
- Produce reports for audits, regulatory filings, and internal analysis to support compliance and strategic planning.
- Lead or coordinate technical benefits-related projects, acting as project manager or liaison across departments such as Payroll and HRIS.
Open Enrollment & System Configuration
- Lead the technical planning and execution of annual Open Enrollment for 20,000+ employees, managing the benefits-related components of the project plan and coordinating with external vendors.
- Configure and maintain benefits plans, eligibility rules, and enrollment workflows within Workday to support Open Enrollment requirements.
- Serve as the primary technical point of contact for all Open Enrollment-related system updates and configuration changes in Workday.
- Oversee end-to-end testing of Open Enrollment system changes, ensuring data accuracy, functionality, and readiness for employee use.
Experience
- 3–5 years of experience in benefits administration and/or HRIS support.
- Experience with HCM systems (e.g., Workday, SAP, Oracle, ADP).
Knowledge, Skills & Abilities
- Strong understanding of employee benefits programs and related regulations.
- Proficiency in Excel and data analysis tools.
- Excellent problem-solving and troubleshooting skills.
- Strong communication and collaboration abilities.
- Attention to detail and commitment to data accuracy.
- Ability to travel up to 10%.
SUPERVISOR RESPONSIBILITY:
- None. This is an individual contributor role
EDUCATION:
- Bachelor's degree in human resources, Information Systems, Business Administration, or related field
- Certifications such as Workday, SHRM-CP, PHR, or CEBS are beneficial.
