Job Overview
Act as the payroll compliance subject matter expert to support U.S. multi-state, Canadian and expanding international payroll operations. In a high-volume retail environment, this role is responsible for payroll tax compliance, wage-hour regulation supervision, audit implementation, policy governance and payroll advisory support, and collaborates closely with the Payroll Operations team to ensure cross-jurisdictional compliance accuracy, regulatory alignment and continuous improvement of payroll practices.
What You Will Achieve:
- Serve as the payroll compliance expert for U.S. multi-state and Canadian payroll, providing hands-on support for complex compliance issues including wage-hour laws, tax regulations and statutory requirements
- Coordinate Mexico and Brazil payroll operations (relevant experience preferred)
- Oversee the full process of payroll tax compliance, including federal/state/provincial tax registration, new state business setup, tax ID registration and tax notice resolution
- Support annual payroll filings, W-2 review, amendment and all regulatory reporting work
- Conduct weekly payroll audit reviews to ensure data accuracy, regulatory compliance and internal control integrity
- Provide advisory support to the Payroll Operations team on compliance issues, regulatory interpretation, tax law updates and wage-hour regulations
- Develop and maintain payroll policies, handbooks and all compliance documentation
- Review and verify the calculation of payroll bonuses and processing of variable compensation
- Supervise the accuracy of benefit deductions in payroll and ensure alignment with carrier billing
- Regularly review payroll strategies with the Payroll Operations team and propose compliance-oriented optimization suggestions
- Collaborate with HR, Finance departments and external vendors to align regulatory requirements with payroll processes
What You Will Need:
Years of Progressive Experience
- 7–10 years of progressive payroll working experience
- Solid hands-on experience in U.S. multi-state payroll (required)
- Experience in supporting Canadian payroll operations (required)
- Experience in supporting Mexico or Brazil payroll operations (preferred)
- Payroll experience in retail industry or for high-volume hourly workforce (preferred)
Technical Skills
- Advanced proficiency in ADP Workforce Now (WFN)
- Hands-on experience with Workday HCM and payroll system integrations
- Strong expertise in payroll tax, with in-depth knowledge of U.S. multi-state tax compliance
- Experience in managing tax registrations and resolving tax official notices
- Experience in conducting payroll audits and internal compliance reviews
- Comprehensive knowledge of wage-hour regulations and payroll statutory requirements
- Advanced proficiency in Microsoft Excel
- Experience in managing benefit deductions within payroll processes
