The Benefits Specialist is an integral member of OrthoVirginia’s Total Rewards and Human Resources team, dedicated to delivering a high-quality, compliant, and employee-centered benefits experience. This role is responsible for the day-to-day administration of health and welfare programs, ensuring accuracy, timeliness, and alignment with organizational policies and regulations.
The Benefits Specialist serves as a key resource for employees, resolving complex benefit-related inquiries and providing clear, supportive guidance. In collaboration with internal stakeholders and external vendors, this role helps drive efficient program delivery and continuous improvement in benefits processes.
Additionally, the Benefits Specialist plays a vital role in enhancing employee understanding of available benefits and contributes to the ongoing evolution of OrthoVirginia’s total rewards strategy, supporting a positive and engaging employee experience.
Key Responsibilities
Benefits Administration & Compliance
- Administer employee health and welfare benefit plans in accordance with federal and state regulations (e.g., ACA, ERISA, COBRA)
- Partner with ACA vendor to ensure ongoing compliance and accurate reporting
- Oversee required filings, compliance documentation, and employee disclosures
- Conduct regular audits of benefits data, enrollment records, and system integrity
Vendor Management & Operations
- Coordinate with carriers, brokers, and third-party administrators to manage benefit programs
- Support benefit-related system configuration, testing, and transactions within Workday
- Manage vendor invoicing and reconcile benefit-related billing
- Maintain strong vendor relationships to ensure service quality, compliance, issue resolution and a positive employee experience
Employee Support & Issue Resolution
- Serve as a primary point of contact for employee benefit inquiries and escalations
- Educate employees on benefit options, eligibility, and plan features
- Partner with HR Business Partners to resolve employee relations issues related to benefits
- Ensure timely and effective resolution of complex benefit issues
Open Enrollment & Communications
- Support planning and execution of annual open enrollment
- Develop clear, engaging employee communications and educational materials
- Contribute content for internal platforms (e.g., intranet) to improve benefits awareness and utilization
Program Development & Analysis
- Assist in evaluating and enhancing benefits offerings based on employee needs, utilization trends, and market data
- Analyze cost trends and provide insights to support decision-making
- Support the development and maintenance of plan documents, policies, and procedures
Wellness Program Management
- Administer employee wellness program and initiatives designed to promote health and wellbeing
- Recommend enhancements based on employee feedback and participation trends
- Develop communications that drive engagement in wellness activities and health screenings
Leave & Compliance Programs
- Serve in a back-up capacity for employee leave programs, including FMLA, short-term disability, and long-term disability
