Contract Project Manager – ATS Implementation
We are seeking an experienced Project Manager to lead the end-to-end implementation of new Applicant Tracking System (ATS).
This is a fast-paced, high-visibility project with no formal vendor implementation team. You will partner directly with the Head of Talent Attraction, HR, IT, and key business stakeholders to drive every phase of the rollout.
We’re looking for a hands-on, highly structured PM who thrives in ambiguity, understands HR technology integrations, and can confidently drive execution, accountability, and follow-through.
Key Responsibilities
Project Leadership & Planning
- Own the full Jobvite implementation plan (scope, milestones, critical path, success metrics)
- Lead governance cadence including workstream meetings, decision logs, RAID logs, and RACI ownership
- Provide clear written and verbal updates to executive sponsors
Risk, Issues & Dependencies
- Proactively identify risks and roadblocks across HR, IT, security, and recruiting teams
- Maintain RAID logs with mitigation plans and ownership
- Escalate blockers with solutions and recommendations
Integrations & Data Model Design
- Partner with HRIS and IT teams to define integrations (HRIS, background checks, assessments, reporting, SSO)
- Design and implement parent/child recruiting data structures (requisition hierarchies, job families, campaign models)
- Ensure data design supports reporting, compliance, and long-term governance
Configuration, Process & Documentation
- Oversee Jobvite configurations (workflows, templates, forms, permissions, approvals, offers)
- Redesign recruiting processes (current → future state)
- Develop and maintain documentation including:
- Business & functional requirements
- Process maps & SOPs
- Configuration specs
- Integration documentation
- Data migration & cutover planning (from Greenhouse)
Training, UAT & Change Management
- Develop training materials for recruiters, hiring managers, and HR
- Lead UAT planning, scripts, defect tracking, and sign-offs
- Support go-live planning, communications, and adoption strategy
What You Bring
Required
- 3–5 years of project management experience, including HR technology or ATS implementations
- Proven experience leading complex, multi-system HRIS/ATS integrations
- Strong project planning, dependency management, and risk mitigation skills
- Experience driving cross-functional accountability in matrixed environments
- Strong documentation skills (BRDs, FRDs, SOPs, process flows, training materials)
- Excellent communication skills and ability to simplify complex topics
- Comfortable operating with limited vendor support
Preferred
- Direct experience implementing Jobvite or other enterprise ATS platforms (Greenhouse, Workday Recruiting, iCIMS, Lever)
- Experience in Talent Acquisition or HR environments
- Knowledge of hierarchical data models and recruiting governance structures
- Experience with data migration, data quality, and UAT best practices
- PMP, Scrum Master, or Agile certification
