Our client, an e-commerce and technology company, is seeking a hands-on Talent Acquisition Vendor Manager to oversee staffing vendor operations, procurement workflows, and contingent workforce processes in a fast-paced, collaborative environment. This role will partner closely with Talent Acquisition, HR, Legal, Finance, Procurement, and Accounting teams to manage vendor relationships, purchase orders, invoicing, reconciliations, and overall operational efficiency. The ideal candidate is highly organized, resourceful, and process-driven, with strong experience in staffing operations, vendor management, and procurement.
**Please note this is remote, 6-month contract role based in San Mateo, CA, with potential for permanent conversion. Pay will be up to $57/hr depending on experience.**
Key Responsibilities:
• Act as the primary contact for talent and staffing vendors, managing communication, issue resolution, and service alignment.
• Oversee staffing procurement workflows, including vendor onboarding, MSA/SOW coordination, PO creation, and lifecycle management.
• Manage purchase orders and invoicing, ensuring billing accuracy, contract alignment, and timely approvals and payments.
• Partner with A/P and vendors to resolve billing discrepancies, reconcile invoices, and clarify services rendered.
• Maintain vendor records, including contracts, rate cards, services, and key contacts.
• Track vendor performance through KPIs and service metrics, driving accountability and continuous improvement.
• Collaborate cross-functionally with TA/HR, Legal, Procurement, Finance, and Compliance to ensure operational and contractual compliance.
• Create tools, templates, and standardized processes to improve procurement efficiency and vendor engagement.
• Train hiring teams on vendor processes, procurement workflows, and external partner best practices.
• Ensure compliance with labor laws, internal policies, and contingent workforce guidelines.
Qualifications:
• 5+ years of experience in vendor management, staffing procurement, and talent acquisition operations.
• Strong knowledge of procurement workflows, including MSAs/SOWs, PO creation, vendor onboarding, invoicing, and reconciliation.
• Experience managing vendor billing issues, payment resolution, and service-related inquiries.
• Highly organized with strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
• Skilled in vendor performance tracking, KPI management, and service-level evaluation.
• Knowledge of labor laws, contingent workforce practices, and compliance requirements.
• Strong communication and relationship-building skills with cross-functional stakeholders.
• Proficient in MS Office, Workday, and procurement/vendor management systems.
• Bachelor’s degree required.
• Experience supporting contingent workforce or staffing vendor programs, including contractor onboarding, PO management, and billing workflows.
• Staffing agency, talent operations, or accounting experience is a plus.
