Job Summary
We are seeking a dynamic and detail-oriented Payroll Coordinator to join our team. Duties
- Process payroll using various systems such as Workday, ADP, Paychex, UltiPro, Kronos, and Ceridian, ensuring timely and accurate payments.
- Maintain and update employee records within HRIS (Human Resources Information Systems) and payroll software platforms.
- Reconcile payroll data with accounting systems like QuickBooks, General Ledger software, and other financial tools to ensure consistency.
- Ensure compliance with employment and labor laws, tax regulations, and wage & hour laws by staying current on legal updates.
- Manage payroll tax filings, including withholding taxes, unemployment insurance contributions, and other statutory deductions.
- Handle confidential information with discretion while managing data entry tasks related to payroll processing and benefits administration.
- Assist with accounts payable/receivable processes related to payroll expenses and benefits payments.
- Support time & attendance systems such as Kronos or Time & Attendance systems for accurate tracking of hours worked.
- Prepare reports on payroll activities for internal review and external audits; perform account reconciliation and analysis as needed.
- Collaborate with Human Resources to ensure proper onboarding, offboarding, benefits enrollment, and compliance documentation.
Experience
- Proven experience in payroll management or related financial roles within corporate or non-profit organizations.
- Extensive knowledge of payroll systems including Workday, ADP, Paychex, UltiPro, Kronos, Ceridian; proficiency in supporting these platforms is highly desirable.
- Strong understanding of employment law, tax law, labor law compliance, and financial concepts related to payroll processing.
- Demonstrated ability to handle confidential information responsibly while maintaining accuracy in data entry and recordkeeping.
- Experience working with accounting software such as QuickBooks or similar financial tools; familiarity with general ledger accounting is a plus.
- Skilled in spreadsheets (Excel), analysis techniques, account reconciliation, journal entries, double-entry bookkeeping, debits & credits—essential for precise financial management.
- Knowledge of benefits administration processes and governmental accounting practices is advantageous.
- Excellent organizational skills combined with attention to detail; ability to multitask effectively in a fast-paced environment.
- Strong communication skills to collaborate across departments including Human Resources and Finance teams.
