TSG Mental Health Service is a virtual psychiatric practice providing medication management for children, adolescents, and adults experiencing depression, anxiety, PTSD, OCD, ODD, and mood disorders. We focus on high-quality, patient-centered psychiatric care delivered via telehealth.
We are seeking a reliable, self-directed Medical Administrative Assistant to serve as the operational backbone of the practice, so the clinicians can stay focused on patient care.
Position Overview
The Medical Administrative Assistant, Patient Care Coordinator will own the day-to-day administrative workflow of the practice, including managing patient communications, verifying patient insurance, prepping for new patient appointments, communicating with pharmacies, and assisting with prior authorizations for medications.
Key Responsibilities
- Answer and manage incoming phone calls in a professional and timely manner
- Manage patient messages and communications via the client portal and address or escalate as needed
- Monitor and respond to voicemails daily, ensuring all messages are returned or flagged by end of business day
- Communicate with the provider consistently throughout the workday to relay patient needs, updates, and action items, primarily via Spruce
- Verify intake paperwork for new patients, ensuring all documentation is accurate and complete
- Verify active patient insurance coverage, document benefits, and confirm eligibility prior to appointments
- Communicate with the billing team based on insurance information gathered; may include contacting the insurance company directly to verify availability and coverage
- Assist with prior authorization requests for medications as directed by the provider
- Attach and file all incoming faxes to the appropriate client charts in IntakeQ
- Communicate with insurance platforms, pharmacies, and vendors as needed
- Support overall operational workflow and contribute to process improvements as the practice grows
Ideal Candidate
- Experience in healthcare administration, patient coordination, or medical office support
- Familiarity with telehealth or virtual medical practice environments
- Comfortable communicating with patients in a professional, compassionate manner
- Strong organizational skills and exceptional attention to detail
- Able to manage multiple platforms and digital tools simultaneously
- Self-starter who handles routine decisions independently
- Tech-savvy with the ability to quickly learn and navigate new digital platforms and practice management systems
Preferred Experience
- Background in behavioral health, psychiatry, or mental health settings
- Familiarity with EHR/practice management systems (IntakeQ, Spruce, or similar)
- Experience supporting physicians, nurse practitioners, or other licensed clinicians

- All patient communications are addressed or flagged by end of each business day
- New patient appointments are fully prepped the day before
- Billing coordination with the team runs smoothly and nothing falls through the cracks
- The clinician can stay focused on patient care
