We are currently seeking a reliable and highly organized Construction Appointment Scheduler to support our construction and service operations remotely.
Position Overview
The Construction Appointment Scheduler is responsible for coordinating customer appointments, construction related visits, service calls, inspections, and other scheduled project activities. This fully remote position serves as an important communication link between customers, project managers, technicians, contractors, and construction teams.
The primary focus of this role is maintaining accurate schedules, communicating with customers, gathering appointment information, coordinating availability, and ensuring project teams receive the details they need before scheduled activities.
The ideal candidate is organized, responsive, professional, and comfortable managing multiple appointments and changing priorities throughout the day. Previous construction or scheduling experience is helpful but not required. Training will be provided.
Responsibilities
- Receive and process customer requests for construction appointments, service visits, installations, inspections, maintenance, and project consultations.
- Schedule appointments based on customer availability, project schedules, technician availability, service requirements, and project priorities.
- Communicate with customers by phone, email, and approved messaging platforms regarding appointment dates, times, changes, and project information.
- Confirm upcoming appointments and provide customers with relevant scheduling and preparation information.
- Gather important project details, property information, access instructions, and customer requests before scheduled appointments.
- Coordinate schedules with project managers, technicians, contractors, construction crews, and other service personnel.
- Maintain accurate digital calendars and scheduling systems throughout the workday.
- Handle appointment cancellations, rescheduling requests, delays, and last minute schedule changes professionally.
- Follow up with customers regarding pending appointments, estimates, inspections, installations, and additional service needs.
- Communicate scheduling changes promptly to customers and appropriate project personnel.
- Coordinate follow up appointments when additional construction work, inspections, repairs, maintenance, or installations are required.
- Maintain accurate customer profiles, appointment records, project notes, and communication history.
- Monitor incoming emails and appointment requests and route information to the appropriate project or service team.
- Identify scheduling conflicts, missing project information, or potential delays and communicate them to the appropriate team member.
- Ensure project teams receive accurate appointment details, customer information, location details, and access instructions before scheduled visits.
- Prepare daily appointment schedules, scheduling updates, and basic administrative reports when requested.
- Provide professional and courteous customer service throughout the scheduling process.
- Provide general remote administrative support to construction, project management, and service teams.
Qualifications
- High school diploma required. Bachelors degree or equivalent preferred.
- Previous experience in appointment scheduling, construction coordination, customer service, dispatch, project support, or administrative work is helpful but not required.
- Excellent verbal and written communication skills.
- Strong customer service skills and a professional telephone manner.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple appointments, customer requests, schedules, and changing priorities simultaneously.
- Comfortable using computers, email, digital calendars, spreadsheets, scheduling platforms, and office software.
- Strong time management, follow up, and problem solving abilities.
- Ability to gather project information accurately and communicate details clearly to customers and construction teams.
- Comfortable communicating remotely with customers, technicians, contractors, project managers, and internal teams.
- Reliable, professional, and capable of working independently with limited supervision.
- Reliable internet access and an appropriate environment for remote work.
- Willingness to learn basic construction terminology, company services, scheduling procedures, and project workflows through provided training.
Pay: $28.00 - $36.00 per hour
