Role Summary
You will help define the global functional blueprint of our SmartRecruiters platform, how recruiters, coordinators, hiring managers, and candidates experience our hiring process end-to-end. Sitting directly in Talent Acquisition, you will translate the TA strategy into functional requirements, harmonize processes across regions, embed regulatory controls, and guide configuration decisions with HRIS/IT and the vendor. The outcome is a globally consistent, locally adaptable recruiting design that elevates candidate experience, drives recruiter productivity, and meets the risk/compliance bar expected of a global financial institution.

Why This Role, Now
We are moving toward SmartRecruiters as the core of a modern TA ecosystem. This role will ensure the platform reflects TA strategy, aligns to our Governance & Enablement model, and responsibly leverages AI to elevate recruiter productivity and candidate experience, without compromising risk and compliance standards.
Key Responsibilities
1. Global Functional Design of SmartRecruiters
- Be a voice for TA-owned design of workflows across requisition, approvals, sourcing, screening, interviews, offers, and prehire, codifying where global standards apply and where regional variance is allowed.
- Define role-based experiences, templates, communications, and permissions for recruiters, coordinators, hiring managers, and approvers directly in SmartRecruiters.
- Serve as a functional decision authority for SmartRecruiters configuration and changes.
2. AI Enabled Recruiting (Responsible Use)
- Identify high value AI and automation use cases native to SmartRecruiters (e.g., candidate matching, auto screening assistance, job advertisement optimization, interviewer scheduling), prioritizing those with measurable recruiter efficiency and candidate experience gains.
- Establish TA guardrails for fairness, explainability, and human in the loop approvals, coordinate with Governance & Enablement on enterprise AI standards.
2. Ecosystem Integration & Experience
- Specify functional requirements for SmartRecruiters integrations (SSO/identity, Workday/SAP HRIS, assessments, scheduling, background screening, careers site/CRM) to ensure a coherent, secure candidate and recruiter journey.
- Validate prototypes and configuration with user groups, drive usability, accessibility, and brand fidelity across all candidate touchpoints.
3. TA Data, Reporting & Controls
- Partner with TA Analytics/Insights to ensure the platform exposes reliable data for business dashboards and continuous improvement.
4. Risk, Compliance & Information Security
- Embed controls for data privacy/retention, role-based access, consent, and accessibility (WCAG) within functional design; maintain audit ready documentation and evidence.
- Partner with Legal/Compliance and InfoSec on DPIAs/PIAs and third-party risk diligence for the SmartRecruiters ecosystem.
6. Enablement & Adoption
- Create TA playbooks, SOPs, quick reference guides, and role-based training for SmartRecruiters. Lead UAT from the TA perspective and certify readiness for go-lives and enhancements.
- Stand up TA-owned change governance (intake, prioritization, release notes, regression expectations) for continuous improvement postlaunch.
Qualifications
- 10+ years in Talent Acquisition with deep experience in TA operations/technology and functional ownership of recruiting processes.
- Proven leadership of functional design and requirements for enterprise ATS platforms; SmartRecruiters experience strongly preferred, with evidence of guiding configuration and adoption in complex environments.
- Fluent in TA lifecycle design and candidate/recruiter UX, comfortable translating business needs into clear user stories and acceptance criteria for HRIS/IT and vendors.
- Strong command of data privacy, EEO/OFCCP, accessibility, and records management requirements in financial services; adept at partnering with Legal/Compliance and InfoSec.
- Executive communication and influence skills; able to drive alignment across regions and business lines within a global TA Governance & Enablement model.
