Job Description

We are seeking a Program Manager to lead the operational onboarding of employees joining through a recent acquisition. This is an individual contributor role responsible for coordinating cross-functional onboarding activities across HR, IT, Legal, Compliance, and regional business teams to ensure a seamless employee experience.
This role is highly operational and execution focused. Success depends on strong organization, communication, and the ability to influence cross-functional partners without direct authority.

Responsibilities

Coordinate end-to-end onboarding activities for newly acquired employees
Receive, organize, and prioritize onboarding data from HR across multiple regions
Own onboarding schedules, calendars, session logistics, and rescheduling activities
Coordinate travel and onsite logistics for onboarding facilitators
Partner with IT and Procurement to manage hardware orders, loaner equipment, and provisioning timelines
Track onboarding completion, outstanding tasks, and employee readiness
Route onboarding support requests through appropriate internal teams
Build and maintain dashboards, reports, and program status updates for leadership
Escalate scheduling or operational issues to appropriate stakeholders
Partner with HR, IT, Legal, and Compliance to ensure required documentation is completed on time
Maintain onboarding presentations, FAQs, welcome communications, and employee-facing documentation
Collect onboarding feedback after each cohort and drive continuous process improvements
Deliver final program documentation and transition materials at project completion

Qualifications

3 to 6 years of program management or project management experience
Experience coordinating complex cross-functional operational programs
Experience managing multi-region scheduling and logistics
Strong stakeholder management and communication skills
Experience working with Microsoft Office, Google Workspace, Outlook, and Miro
Familiarity with HRIS platforms such as Workday
Experience working with ticketing systems such as ServiceNow
Comfortable working in fast-changing, ambiguous environments
Strong reporting, tracking, and organizational skills

Preferred

Acquisition integration or M&A onboarding experience
IT asset management or hardware deployment coordination
Dashboard and reporting experience
Legal or Compliance documentation coordination
PMP certification

Compensation

Pay Rate: $76.54/hour
