Job Summary
We are seeking a detail-oriented and client-facing Payroll Specialist to support the implementation of our benefits and reimbursement program through payroll. In this role, you will work directly with clients on phone calls to guide them through setting up payroll deductions and reimbursement codes, ensuring everything is configured correctly inside their payroll system.
You will also be responsible for running mock payrolls after new codes are added, confirming that employee net pay is not negatively impacted and that the benefit structure is functioning exactly as intended. The ideal candidate is organized, confident on calls, and comfortable working across multiple payroll platforms while maintaining accuracy and compliance.
Key Responsibilities
- Conduct client onboarding and implementation calls to guide payroll setup for benefit deductions, reimbursements, and related payroll coding.
- Support clients step-by-step in inputting and configuring payroll codes so deductions and reimbursements run properly.
- Run mock payrolls once new codes are implemented to validate accuracy and ensure employee net pay remains stable.
- Review payroll outputs and provide clear recommendations to clients to correct errors, mismatches, or improper deductions.
- Confirm all payroll changes align with the intended benefit program structure and are implemented exactly as designed.
- Coordinate with internal team members to ensure seamless rollout across multiple clients and payroll providers.
- Maintain documentation for each client implementation including setup notes, payroll validation outcomes, and next steps.
- Provide ongoing support for troubleshooting payroll deductions and reimbursement workflows after launch.
- Ensure proper communication, professionalism, and clarity during client-facing calls and follow-ups.
Qualifications / Requirements
- 2+ years of experience in payroll processing, payroll implementation, or payroll administration support.
- Strong working knowledge of payroll deductions, earning codes, benefits setup, and paycheck calculations.
- Experience using payroll software such as ADP, Paychex, Gusto, QuickBooks Payroll, Workday, Ceridian, UKG/Kronos, Paylocity, UltiPro, or similar platforms.
- Ability to run payroll tests or mock payrolls and confidently explain what changed and why.
- Excellent communication skills - comfortable guiding clients live on calls and handling objections or confusion professionally.
- High attention to detail with the ability to spot errors that could impact take-home pay.
- Strong documentation habits and ability to manage multiple clients and implementations at once.
- Basic understanding of payroll tax withholding and compliance impacts is preferred.
- Background in benefits administration or payroll-based reimbursement programs is a strong plus.
