About the Role
- We're looking for a Recruiting Operations Specialist to join our team on a contract basis. In this role, you'll drive the operational health of our recruiting function—optimizing recruiting technologies, improving processes, and ensuring our systems and documentation support a growing team. You'll balance hands-on systems administration with identifying opportunities for automation and efficiency gains, serving as a key partner to Recruiters, Hiring Managers, and cross-functional teams.
- This role combines deep systems expertise with process optimization. You'll be the go-to expert for recruiting tool configuration, lead implementations of new capabilities, and develop resources that help the recruiting team operate efficiently. Your technical aptitude, problem-solving skills, and ability to translate operational challenges into scalable solutions will directly support our ability to hire exceptional talent.
What You'll Do
- Systems Administration: Serve as a Greenhouse power user and administrator, managing job configurations, approval workflows, offer templates, custom fields, and system integrations
- Technology Optimization: Drive adoption and optimization of recruiting technologies (Greenhouse, Gem, ModernLoop, JIRA) to enhance team efficiency and identify opportunities for improvement
- Process Improvement: Identify and resolve bottlenecks in recruiting processes and tools, using data and user feedback to eliminate redundant workflows and increase efficiency
- Project Management: Lead end-to-end project management for tool implementations, process changes, and system enhancements
- Knowledge Management: Create and maintain documentation for recruiting processes, tools, and best practices with a focus on self-service and just-in-time enablement
- Escalation Management: Manage ticket escalations for recruiting systems issues, prioritizing those impacting recruiting efficiency; develop self-service resources and knowledge base content to reduce recurring requests
- Data & Reporting: Build and maintain standard reports, conduct data audits, and support analytics requests that inform recruiting strategy
- Cross-Functional Partnership: Collaborate with People Operations, Onboarding, Immigration, IT, and hiring teams to ensure seamless handoffs and confirm compliance requirements within our ATS and recruiting processes
You May Be a Good Fit If You
- Have 5+ years of experience in recruiting operations, HR operations, or similar roles with demonstrated expertise in systems administration and process improvement
- Have strong systems proficiency with applicant tracking systems—you're comfortable getting into tool configuration, not just using the interface (Greenhouse experience strongly preferred)
- Excel at identifying patterns in operational challenges and translating them into scalable, systematic solutions
- Have experience leading tool implementations or process change initiatives from scoping through adoption
- Are highly organized with the ability to manage competing priorities while maintaining attention to detail
- Have experience creating clear, actionable documentation and enablement materials that drive self-service
- Communicate effectively across all levels, from coordinators to senior leaders
- Are comfortable with data analysis and can use metrics to identify opportunities and measure impact
- Thrive in fast-paced environments and can balance proactive improvements with responsive support
Strong Candidates May Also Have
- Experience administering Greenhouse at a configuration level (workflows, custom fields, permissions, integrations)
- Background working with technical recruiting teams
- Familiarity with recruiting analytics and reporting tools
- Experience with JIRA, Workday, or similar operational platforms
- Background in instructional design or enablement content development
