Position Description:
The Executive Assistant to the CEO is a mission-critical, high-trust role at Templar Shield, directly enabling the CEO’s effectiveness as the company scales rapidly in the AI risk and security market. This position is designed for someone who operates at executive altitude, exercises excellent judgement, and brings structure, clarity, and momentum to a fast-moving environment. Acting as a force multiplier for the CEO, the Executive Assistant ensures the CEO’s time, focus and priorities are aligned with the company’s most important objectives. The role goes beyond calendar management: it is about anticipation, leverage, and execution. While the role includes exposure to the center of the business, with visibility into leadership decisions, strategic initiatives, partnerships, and market-facing activity, its primary purpose is to provide exceptional executive support to the CEO in a fast-paced, high-growth environment.
Templar Shield works closely with global, multi-billion-dollar technology partners and alliances, including major enterprise platforms and ecosystem partners. In this role, the Executive Assistant will help coordinate executive engagement with these partners, support alliance-related communications and logistics, and ensure smooth execution of high-stakes meetings and initiatives. This exposure does not replace the executive support function - it enhances it, requiring polish, professionalism, and precision.
As Templar Shield continues to grow, this role will contribute to scaling executive operations and internal processes, supporting channel and alliance coordination, and providing light support across executive-level marketing and event activities. These responsibilities are extensions of the core executive support function and are intended to enhance execution - not distract from it.
Primary Objectives:
Core Responsibilities
Executive Partnership & CEO Enablement
- Serve as a trusted partner to the CEO, proactively managing time, priorities, and information flow
- Own complex calendar management, including prioritization, conflict resolution, and preparation for high-stakes meetings
- Manage CEO inbox and correspondence, ensuring clarity, follow-through, and timely decision-making
- Coordinate domestic and international travel, itineraries, and logistics for the CEO (and select C-suite leaders as needed)
- Draft, edit, and review executive-level communications, presentations, and documents
- Handle highly confidential information with absolute discretion and sound judgment
- Anticipate needs, identify friction points, and resolve issues before they impact execution
- Conduct research and prepare briefing materials to support executive decision-making
- ·Operate effectively at the center of the business, supporting core executive functions
Executive Operations & Special Projects
- Ensure seamless planning and execution of executive meetings, offsites, board meetings, and key events
- Support CEO engagement with strategic partners and alliances, coordinating logistics, materials, and preparation for high-visibility interactions
- Track action items and commitments across executive initiatives to ensure follow-through and accountability
- Contribute to the development and scaling of executive processes and operating rhythms as the company grows
- Take ownership of special projects in support of executive and company priorities, often involving cross-functional coordination
Note: The scope of special projects will evolve based on company needs and the strengths of the individual in the role.
Travel & External Engagement
- Support CEO participation in industry conferences, partner events, leadership offsites, and client meetings
- Provide on-site executive support when required to ensure events are well-managed and professionally executed
- Travel is expected and may increase during peak conference and event periods (typically up to ~20% during those windows)
Qualifications:
- Minimum 5 years of experience supporting a CEO - or senior executive, ideally in a high-growth, consulting, technology, or fast-paced startup environment
- Exceptional verbal and written communication skills
- Proven ability to operate with discretion, judgement, and confidence while managing multiple priorities and timelines
- Proficiency in Microsoft Office Suite, Google Workspace, Zoom, and project management tools (e.g., Asana, Trello)
- Strong organizational and prioritization skills; attention to detail is a must; calm under pressure
- Ability to work autonomously while staying tightly aligned with executive priorities
- Thrive in a high accountability, fast-moving executive environment
- Demonstrate pride and ownership in handling high-trust, mission-critical responsibilities
- Commit to long-term partnership and growth alongside the CEO and the company
- Deliver work that directly contributes to the company’s success and executive effectiveness
- Must be available to work a standard workday 8-5 in Mountain Time Zone
- Up to 20% travel required to support offsite conferences and events
Preferred:
- Experience in technology, SaaS, cybersecurity, or consulting environments
- Familiarity with ServiceNow, partner ecosystems and enterprise clients
- Bachelor’s degree in Business, Communications, or a related field
- Experience contributing to executive operations, strategy support
- Prior experience in CRM technology

Pay: $70,000.00 - $90,000.00 per year
