Your Expedition (position overview)
As a key member of the Direct Travel Meeting & Events team, the Associate Program Manager will be responsible for assisting and contributing to planning meetings/incentives in an entry level and administrative role.
This role will work closely with clients and a team of program managers and report to the team operations manager.
Going the Extra Mile (Responsibilities)
- Ensure accurate and timely data entry into Cvent
- Manage Website Registration Sites, Databases and Attendee Management
- Orchestrate Travel Arrangements for Attendees
- Draft program documents and communication for programs
- Draft Timelines for meetings and incentives
- Prepare close out reports as it pertains to our client service requirements.
- Draft Post Con or Meeting History Reports
- Begin Reconciliation Checklist Coordination
- Conduct file audit processes/procedures
- Manage the expense reimbursement process and vendor payment requests
- Negotiate agreements and terms with vendors for the health of the event budget
- Demonstrate industry knowledge by contributing effective ideas
Your Passport to Success (Qualifications)
- College degree preferred
- 1-3 years experience in Meetings & Incentives or the hospitality industry.
- Proficient with Windows operation system and variety of software programs
- Excellent written and verbal communication skills
- Time management and organizational skills
- High level of detail orientation
- Strong customer service skills
- Excellent leadership skills
- Strong quality control management
- Self-motivated and ambitious
- Prior experience working with attendee management systems preferred
- Demonstrate ability to learn and adapt to changing procedures, methods or processes and assist in teaching others.
Preferred Qualifications
- Proficient at multitasking
- Proficiency in Microsoft Office
- Prior experience in Cvent
Working Conditions
- Ability and willingness to work extended workdays and possible weekends
- Accessible during acceptable working hours identified per project/program
- Travel expectations – the potential of 5-10% or more of time annually
- Frequent use of a computer and other office equipment
- Ability to lift 20 lbs.
- Frequent sitting, standing, and walking
