Job Summary
We are seeking a highly organized and communicative Client Onboarding Specialist to join our dynamic HR and talent acquisition team. The ideal candidate will be responsible for ensuring a seamless onboarding experience for new clients and partners, leveraging expertise in HR sourcing, talent management, and relationship management. This role requires a strong understanding of employment law, HRIS systems, and recruitment tools such as Workday, Taleo, iCIMS, and Salesforce. The Client Onboarding Specialist will play a pivotal role in fostering positive client relationships, managing onboarding processes efficiently, and supporting the broader talent acquisition and HR functions within the organization.
Responsibilities
- Facilitate the onboarding process for new clients by coordinating with internal teams and external partners to ensure all contractual and compliance requirements are met.
- Conduct detailed research to understand client needs and tailor onboarding strategies accordingly.
- Manage communication with clients through various channels including social media management, cold calling, and relationship management to ensure smooth integration.
- Utilize ATS systems such as UltiPro, PeopleSoft, Kronos, ADP, Paychex, and Workday to track onboarding progress and maintain accurate records.
- Support talent acquisition efforts through internal recruiting, executive recruiting, campus recruitment, and talent management initiatives.
- Assist with employee orientation programs and employee evaluation processes to ensure new hires are integrated effectively.
- Stay current on employment & labor law regulations to ensure onboarding compliance.
- Lead training & development sessions related to onboarding procedures for HR teams and hiring managers.
- Collaborate with HRIS teams to optimize onboarding workflows within systems like HRIS platforms or recruitment software such as Lever or Taleo.
- Develop lead generation strategies for new client acquisition through research and outreach efforts.
- Contribute to succession planning initiatives by identifying potential future leaders during the onboarding process.
Requirements
- Proven experience in HR sourcing, recruiting (including executive recruiting), or talent acquisition roles with familiarity in ATS systems like Workday, Taleo, iCIMS, Salesforce, or PeopleSoft.
- Strong negotiation skills coupled with excellent communication skills for effective relationship management.
- Knowledge of employment & labor law to ensure compliance during onboarding procedures.
- Experience with social media management tools and lead generation techniques is preferred.
- Familiarity with HRIS platforms such as UltiPro, Kronos, ADP, Paychex, or similar systems is highly desirable.
- Ability to manage multiple projects simultaneously while maintaining attention to detail.
- Demonstrated ability in training & development initiatives related to HR processes.
- Strong research skills paired with strategic thinking for client engagement and process improvement.
- Bachelor’s degree in Human Resources, Business Administration, or related field is preferred but not required depending on experience.
