Our Benefits Specialist is responsible for the administration and ongoing support of employee benefit programs for Transforming Age and our Affiliates . This role ensures accurate benefits delivery, regulatory compliance, and consistent employee experience across health, welfare, paid leave, and retirement programs. The position partners closely with HR, Payroll, Finance, Legal, and external vendors to maintain compliant and efficient benefits operations.
Our Benefits Specialist:
- Administers health and welfare benefit programs, including medical, dental, vision, life insurance, disability, HSA, FSA, and voluntary benefits such as retirement programs, time-off programs.
- Processes benefit enrollments, qualifying life events, and plan changes through HRIS and vendor platforms.
- Supports annual open enrollment activities, including system configuration, testing, vendor coordination, and employee support.
- Reconcile benefit deductions and resolve discrepancies in coordination with Payroll.
- Ensure compliance with applicable federal and state benefits regulations, including ERISA, ACA, COBRA, HIPAA, and applicable state requirements.
- Support required filings, audits, and testing related to benefit plans, including Form 5500, nondiscrimination testing, and ACA reporting, as applicable.
- Maintain plan documents, summary plan descriptions, participant notices, and compliance calendars.
- Identify and escalate compliance risks or operational issues with recommended remediation actions.
- Serve as the day-to-day operational contact for benefits vendors, brokers, recordkeepers, and third-party administrators.
- Monitor vendor performance and assist with vendor implementations or transitions.
- Coordinates with Finance, Legal, Payroll, and external advisors as needed.
- Responds to employee benefit inquiries accurately, timely, and with discretion.
- Assists with the development and distribution of benefits communications, guides, and FAQs.
- Supports benefits education and enrollment initiatives.
- Prepare routine reports related to enrollment, participation, costs, and compliance.
- Promotes the Mission, Vision, and Values of Transforming Age and its Culture of Excellence in all areas of responsibility.
- Performs other duties as assigned.
What you need to succeed:
- Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and experience.
- Experience administering U.S. employee benefits in a nonprofit or heavily regulated environment (multi-state experience highly preferred).
- Working knowledge of U.S. benefits regulations and compliance requirements.
- Experience with Workday or similar HRIS and benefits administration systems.
- Strong attention to detail and organizational skills.
- Experience supporting open enrollment, audits, or vendor transitions.
- Experience administering both 401(k) and nonprofit 457(b) retirement plans preferred.
- CEBS, SHRM, or similar professional certification highly preferred.
- Knowledge of U.S. health, welfare, and retirement benefit programs, including 401(k) and nonprofit 457(b) plans.
- Ability to interpret plan documents and regulatory requirements.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Ability to handle sensitive information with confidentiality.
